Citizens Private Wealth is seeking a proactive, highly organized Private Wealth Executive Assistant to provide dedicated support to a Managing Director, Wealth Manager, within our San Francisco office. This is a high-impact role for a detail-oriented professional who thrives in a fast-paced, relationship-driven environment and enjoys being a trusted partner to senior leadership.

As a key member of the Private Wealth team, you will play an integral role in day-to-day operations, client engagement, and cross-team collaboration. You’ll help keep the business running smoothly by managing complex administrative responsibilities, supporting team initiatives, and handling sensitive matters with discretion and professionalism.

In this role, you’ll support the Wealth Manager and broader team by managing a wide range of responsibilities, including:

  • Provide comprehensive, day-to-day administrative support to the Wealth Manager, including complex calendar management, scheduling, travel coordination, expense reporting, and technology assistance.
  • Serve as a primary point of contact for emails and correspondence, responding with professionalism, urgency, and confidentiality.
  • Coordinate meetings, client appointments, and events (on-site and off-site), including preparing agendas, presentation materials, and follow-up action items.
  • Prepare internal and external correspondence, reports, and meeting materials; assist with special projects as needed.
  • Build, document, and maintain repeatable processes and templates to improve efficiency and consistency for ongoing business and client tasks.
  • Take meeting notes, track deliverables, and follow up on action items to ensure priorities stay on track.
  • Support additional team members as needed to meet business objectives and deadlines.
  • Manage office logistics, including ordering supplies, maintaining equipment inventory, and handling routine administrative tasks such as filing, data entry, and document organization.

Qualifications and Skills:

  • Prior administrative support experience, or experience within wealth management, financial services, or a client-focused operational support role.
  • Strong written and verbal communication skills, with the ability to interact confidently in a sophisticated, high-touch client environment.
  • Advanced proficiency with technology and systems, including Microsoft Office (Outlook, Teams), Excel, PowerPoint, SharePoint, Concur (or similar tools), with at least 3 years of experience.
  • Exceptional attention to detail, time management, organization, problem-solving, and prioritization skills.
  • A positive, adaptable mindset with the ability to remain composed and effective amid shifting priorities.

Proven ability to work independently and collaboratively within a fast-paced team environment.

Work Structure

  • Hours per week: 40 (Nonexempt; OT eligible)
  • Schedule: Monday–Thursday, 8:30 AM–5:00 PM (some days may require staying until 6:00 PM).
  • Flexible work: 4 days in office requirement (101 California St. Location). Opportunity to work from home one day per week once acclimated


Pay Transparency

The salary range for this position is $75,000.00-100,000.00 per year, plus the opportunity to earn additional discretionary incentive.
