The Director of Events & Housing is responsible for the administration, coordination, and operational oversight of university event services and residential housing support functions. Oversees university conference and meeting space usage, event authorization processes, facility scheduling, financial coordination related to space utilization, and institutional event compliance. Maintains oversight of the university’s master event calendar and serves as a central coordinating resource for campus events and facility use.

The Director also supports university residential housing operations through coordination with the university’s external housing management partner and internal departments. Responsibilities include assisting with housing-related communication, operational coordination, policy alignment, and issue resolution affecting university residential properties and residents.

DUTIES AND RESPONSIBILITIES

Event & Conference Services (Primary – ~80%)

  • Administers all requests for use of university facilities, including conferences, meetings, and external events.
  • Reviews, approves, denies, or routes event requests based on institutional policies, space availability, and risk considerations.
  • Maintains and oversees the university’s centralized master event calendar and campus event coordination processes to ensure accuracy and prevent scheduling conflicts.
  • Coordinates space allocation across academic, administrative, and auxiliary units.
  • Establishes and enforces policies related to facility use, including prioritization, fees, and compliance requirements.
  • Determines applicable fees for facility use, including rental charges, staffing, security, custodial, and technical support.
  • Coordinates with Campus Safety regarding security requirements and associated costs.
  • Works with Facilities/Physical Plant to ensure event setup, breakdown, and operational readiness.
  • Ensures all required agreements, permits, insurance certificates, and documentation are completed prior to event approval.
  • Serves as the primary point of contact for internal departments and external organizations requesting use of campus space.
  • Monitors event activity for compliance with university policies and approved use agreements.
  • Generates reports on facility usage, revenue, and operational trends.
  • Recommends process improvements to enhance efficiency, utilization, and cost recovery.

Residential Housing Operations & Coordination (Secondary – ~20%)

- Serves as the university’s primary administrative contact for coordination with the university’s external housing management partner.

- Assists in supporting university residential housing operations and occupancy coordination consistent with institutional priorities and housing guidelines.

- Coordinates communication between residents, the external housing management partner, and university departments regarding operational and maintenance matters.

- Participates in discussions related to housing agreements, resident concerns, compliance matters, dispute resolution, and operational issues.

- Coordinates internally with appropriate university departments regarding housing-related matters, including maintenance concerns, safety issues, and legal or compliance-related situations.

- Assists with monitoring vendor performance, operational effectiveness, and adherence to university expectations.

- Supports the university’s efforts to maintain effective communication and coordination regarding residential housing operations.

JOB SPECIFICATIONS

Education & Experience

  • Bachelor’s degree required; Master’s degree preferred.
  • Minimum 3–5 years of experience in event management, conference services, facilities scheduling, or related administrative operations.
  • Experience in higher education or similarly complex organizational environments preferred.

Knowledge, Skills & Abilities

  • Strong organizational and operational management skills.
  • Ability to manage multiple competing priorities and high-volume scheduling.
  • Knowledge of event logistics, facility operations, and risk considerations.
  • Financial acumen related to fee structures, cost recovery, and budgeting.
  • Ability to interpret and apply institutional policies consistently.
  • Strong interpersonal and communication skills for coordination across departments and with external clients.
  • Discretion and sound judgment in handling sensitive or complex situations.
  • Proficiency with scheduling systems, databases, and enterprise systems (e.g., Banner or similar platforms preferred).

Working Conditions

  • Primarily office-based with frequent interaction across campus.
  • May require occasional evening or weekend availability depending on event schedules.

Salary Range: $70,304 - 71,000, plus generous benefits.
