Administrative Specialist – Nursing Education
Location: Newport Beach, CA (On-site)
Pay Range: $30 - $50 per hour (DOE)

About the Role:
As the Administrative Specialist, you will provide key support to the Director of Nursing Education and the broader department. You'll manage calendars, coordinate meetings, handle sensitive information, and keep the department running smoothly. This role is ideal for someone who is resourceful, a great communicator, and can juggle multiple priorities with ease.
Key Responsibilities:
Serve as the department point person for calls, messages, and information flow
Manage the Director’s calendar and department schedules
Prepare agendas, compose correspondence, and take/transcribe meeting minutes
Schedule meetings, arrange catering, and manage classroom assignments
Coordinate orientations for new nursing staff, ensuring records are accurate and up to date in the learning management system
Support conference planning and annual class calendar creation
Manage vendor invoicing, purchase orders, and department expense reports
Organize and maintain department files, including confidential and compliance documentation
Assist with office supply orders, equipment check-out, and AV/computer setup for classes
Liaise with contracted nursing schools for reservations, access, and documentation
Collaborate with educators and other hospital staff to ensure smooth operations
Perform other administrative duties as assigned
What You’ll Bring:
High School diploma or equivalent required; Bachelor’s degree preferred
Minimum of 5 years of administrative experience, ideally in healthcare or a related field
Intermediate Microsoft Office skills; comfortable with spreadsheets and databases
Exceptional organizational, communication, and interpersonal skills
Ability to work independently, prioritize tasks, and maintain confidentiality
Resourceful, self-reliant, and able to problem-solve on the fly
Knowledge of medical terminology a plus

Pay Details: $30.00 to $50.00 per hour
